Information for authors on marking corrections in PDF layout – proof files

Please review the PDF layout file carefully. At the proof stage, avoid extensive changes to the text that significantly alter the length of paragraphs and may disrupt the layout.

Mark each correction at the precise point where it is required. Use the PDF text markup tools to indicate corrections. These tools are also available in the free Adobe Acrobat Reader application.

Tools to use

Highlight text (Marker)

Select the word or passage to be corrected, choose this tool and enter a brief, precise instruction in the comment box, for example: “Italicise!” or “Start a new paragraph with this word.”

Strikethrough text

Select the word or passage to be deleted and choose the strikethrough tool.

Replace selected text (Add note to replace text)

Select the text to be replaced, choose this tool and enter the exact replacement text in the comment box.

Insert text (at cursor) 

Place the cursor at the precise point in the text where the addition is required, choose this tool and enter the text to be inserted in the comment box.

Add a comment (Add sticky note)

Use this standalone comment tool only when the tools above are unsuitable, as the position of the comment icon does not always make it clear which part of the text the comment refers to.

Once you have finished, save the PDF with all your corrections and comments, and email it to your editor at the University of Latvia Press or to apgads@lu.lv.
